Media Approvals

Overview

Fusion Signage’s Media Approvals feature allows organisations to control which media files are published to screens, ensuring only approved content is displayed. This is ideal for larger teams, franchise environments, or organisations with multiple content contributors.

How Media Approvals Work

  • Standard Users:
    Standard users (those without approval permissions) will have any media they upload marked as Pending Approval. This media must be approved before it can be published to screens.

  • Management Users:
    All management users have automatic approval permissions. They can review and approve media submitted by standard users.

Enabling Media Approvals

Media Approvals must be enabled for your account before use. If you are on the Pro licence and wish to activate Media Approvals, please contact [email protected].

Setting Up Media Approvals

Once enabled, Media Approvals are managed through Permission Groups. You will need to configure your user permissions as follows:

  1. Create two Permission Groups (under Settings -> Permission Groups):

    • Approvers Group:
      Enable Media Folder Approval Access for users who are authorised to approve media. Users in this group can upload and approve media directly.

    • Standard Users Group:
      Leave Media Folder Approval Access unchecked for users who require their media to be reviewed before it can go live.

  2. Assign Users:
    Assign each user to the appropriate permission group based on their role and responsibility.

  3. Save your changes.

Note: When a file is submitted for approval, an email notification will be automatically sent to all users with Media Folder Approval Access, letting them know that new content is awaiting review.

Approving or Rejecting Media

  1. Go to the Approvals tab on the left-hand side of the page.

  2. You will see a list of files waiting for approval. Select the green tick to approve the media, or the rubbish bin to reject it.

  3. Once approved, the Pending Approval status will be removed from the file and it will become visible on screens.

  4. A full list of recently approved files can be found by selecting the Recently Approved tag at the top of the page.

  5. While media is waiting for approval, it can still be added into playlists. However, it will not display live on screens until it has been approved.

Interaction with Locations

Media Approvals works well with our Locations system. You can have users added to either a Location or a Tier and have different permissions set at each. This means you could have a regional manager set at the top of the location tier who can approve content for all locations below it, as well as a local approver at the store location.
